When the Part You Need Isn’t Easy to Find

Industrial operations often depend on equipment that remains in service for years or even decades. When a critical component fails, finding the correct replacement can become surprisingly difficult. Parts may be discontinued, backordered, available only through specialized channels, or identified by an old manufacturer part number.

1. Start With the Part Number — But Don’t Stop There

  • OEM part number
  • Equipment model and serial number
  • Part description
  • Dimensions or technical specifications
  • Required quantity
  • Photos of the existing component
  • Required delivery date

Even partial information can help narrow the search.

2. Determine Whether the Part Is Obsolete or Simply Difficult to Source

A part that doesn’t appear in a normal distributor search isn’t necessarily obsolete.

It may be temporarily unavailable, replaced by a newer part number, available through a specialty distributor, sitting in surplus inventory, or available from another geographic market.

Understanding the actual availability problem is important before selecting an alternative.

3. Evaluate OEM and Compatible Alternatives

When the original component is unavailable, a compatible replacement may provide another option.

Depending on the application, this could include an OEM replacement, manufacturer-approved substitute, aftermarket component or technically equivalent product.

Compatibility should always be evaluated against the actual operating requirements rather than price alone.

4. Expand the Sourcing Network

Hard-to-find parts often require looking beyond traditional distribution channels.

Specialty distributors, manufacturers, industrial suppliers, surplus inventories and broader sourcing networks can uncover products that aren’t readily visible through standard procurement channels.

The objective isn’t simply to find a part. It’s to find the right part from a credible source at an acceptable total cost and lead time.

5. Evaluate Total Cost — Not Just Unit Price

The lowest quoted price isn’t always the lowest-cost solution.

Consider:

  • Product cost
  • Freight and expedited shipping
  • Lead time
  • Compatibility
  • Condition
  • Warranty
  • Supplier reliability
  • Potential downtime

For a critical piece of equipment, getting the correct component several days sooner can be far more valuable than saving a few dollars on the purchase price.

6. Know When to Bring in a Sourcing Partner
